Terms and Conditions

Please review the following terms before scheduling services with Premier Visual Voice.

  1. Booking Minimum & Overtime Billing

A one hour minimum per event is required. If the session exceeds the scheduled time, you will be invoiced the additional time in 30 minute increments.

Example: A 75-minute appointment would be billed at 90 minutes — rounded up to the next half hour, as stated above.
  2. Advance Scheduling & Last-Minute Requests

Scheduling events or classes must be done at least two business days prior to the date of the event. An additional $50 per hour applies for last-minute, on-demand requests. Last-minute on-demand jobs are any requests made with less than 24 hours' notice.

  3. Technical Requirements & Session Connectivity

Live, remote services require a computer with a webcam and/or microphone and high-speed internet access, or Caption Companion. A test call or sound check is required before an appointment to ensure audio quality and minimize technical difficulties. If technical difficulties arise before or during any session, you are still responsible for payment.

If the client does not connect with the captioner for a session, the captioner will remain available for 30 minutes after the start time. After 30 minutes, the captioner will disconnect if the client has not connected. Payment is still required for client "no-shows."

Events may also be recorded for a clean transcript and training purposes. Please indicate before the start of any event or session if your organization would prefer not to have it recorded. Clean transcripts are available upon request for an additional charge.
  4. Cancellation & Rescheduling

All events require a two business-day cancellation or rescheduling notice. If cancellation or rescheduling is not made prior to two business days before the start time of the event, you are still responsible for payment. Rescheduling is not guaranteed and is based on captioner availability.

In educational environments, weather-related campus closures follow the same two business-day cancellation policy. Student test days are invoiced as regularly scheduled days.

Educational Environments: When scheduling CART or captioning services for students, the schedule runs from the beginning of the term through finals week and is invoiced accordingly. Scheduled holidays for individual campuses must be removed by the campus contact person to be excluded from billing. All other scheduled days for an individual student are charged and payment is required — including test days, since these are subject to change. This reserved time guarantees each student a timeslot for their schedule throughout the term. Federal holiday services are invoiced at 1.5 times the regular rate.
  5. Invoicing

You will be invoiced upon completion of the event, unless other arrangements have been approved by the Premier Visual Voice administrative office. Upfront payment may be required depending on the nature of the event — this will be discussed prior to scheduling. A monthly invoice option may also be available.

  6. Late Payment

If an invoice is not paid within 30 days, a 20% late fee will be added. An additional 10% late fee will be added every 21 days thereafter that the invoice remains unpaid.
